HR & Office Administrator
Job Description

This key position serves as the point of contact and administrator for 1) all team members’ payroll and benefit needs, 2) applicable third‐party regulatory agencies, resources, and vendors, and 3) Winco management for recruiting and other HR related support. Additionally, he/she will support our accounting and business administration needs serving as our credit card administrator, reconciling cash and benefit accounts, posting related journal entries, assisting with commission administration, and coordinating team events and internal communication.

The ideal HR & Office Administrator enjoys working with people in a supportive and collaborative fashion, has great communication skills – in both English and Spanish ‐ and excels at maintaining healthy working relationships.

Job Responsibilities

Specific areas or responsibility and duties include but are not limited to:
Human Resources Functions

  • Serve as point of contact for all payroll/benefits inquiries and complaints, ensuring prompt,
    courteous and appropriate resolution.
  • Manage group benefits, enrollment, and administration including health, dental and life
    insurance, 401K program, PTO, and COBRA administration and compliance.
  • Develop and coordinate team member orientation, training, and onboarding.
  • Serve as a point of contact with vendors and other third parties including: benefits, payroll,
    insurance, safety, regulatory agencies and others to solicit and evaluate quotes, manage
    contracts, maintain legal requirements, and make appropriate recommendations to
  • Assist with recruitment, interviewing, hiring, orientation, and termination including maintenance
    of accurate job descriptions.
  • Manage worker’s compensation administration, including accident reporting requirements and
    claims management.
  • Maintain Employee Handbook.
  • Maintain all required insurance policies including but not limited to liability, Workers’
    Compensation, etc.

Administrative Functions

  • Organize and maintain all HR, training, employee, insurance and other company files and records,
    electronic and paper, ensuring complete accuracy and confidentiality.
  • Process weekly commission files and monthly commission calculations.
  • Coordinate and communicate employee events, benefits programs, and other employer
    sponsored activities.
  • Serve as our credit card administrator.
  • Identify and assist with miscellaneous, on‐going or one‐off, office and administrative needs.

Accounting Functions

  • Cross‐train and support the Accounting Associate with AP, AR, or other areas of accountability.
  • Complete weekly and monthly bank reconciliations.
  • Complete journal entries including: Credit Card, Payroll, and Bank activity.
  • Perform payroll/benefit related reconciliations to the General Ledger and other accounts.


  • Minimum 2 years’ experience as an HR Generalist/HR Assistant or minimum of an associate degree in human resources/equivalent education.
  • Basic knowledge of various employment laws and practices.
  • Proficiency in Keyboarding, Microsoft Excel, Word, and Outlook.


  • An associate degree in human resources, business administration, accounting or a related field.
  • Ability to fluently speak, write, and read both English and Spanish.
